Smooth Printing, Zero Paper Jams: Your Essential Guide to Paper Storage

September 16, 2024

Proper paper storage is essential when it comes to maintaining the quality of your documents. Paper, by nature, is sensitive to its environment, particularly moisture and humidity. Without the proper storage practices, paper can absorb or lose moisture, leading to issues that can disrupt your office's workflow. Here's how to ensure your paper remains in top condition and ready for smooth printing and copying.

Understanding the Impact of Moisture on Paper

Damp Paper: Excess moisture in paper can cause it to warp, curl, or even stick together. This can lead to printing issues, from paper jams to misfeeds and wrinkled output. Additionally, damp paper often struggles with toner adhesion, resulting in faded prints or smudging.

Dry Paper: On the flip side, if paper loses too much moisture, it can shrink, causing tight edges that make feeding difficult. This can lead to jams and registration issues during printing.

Best Practices for Paper Storage

  1. Keep Paper Sealed Until Use: Paper is packaged in a protective wrapper that helps maintain its moisture levels. For best results, only open the packaging when ready to use the paper. This helps preserve its quality.
  2. Store in a Controlled Environment: Ideal storage conditions for paper are between 68°F and 76°F, with humidity levels of 35-55%. Avoid placing paper on the floor or in areas that experience extreme temperature changes, as this can lead to moisture absorption.
  3. Flat and Secure Storage: Always store paper flat and stacked evenly to prevent curling. Use a storage cabinet to protect it from physical damage and environmental elements if possible.
  4. Condition Paper When Necessary: If you need to move paper from a more relaxed storage area to a warmer one, allow it time to acclimate before use. For example, paper moved from a 57°F storage room to a 72°F office should be conditioned for about 8 hours to avoid warping or curling.

By following these best practices, you can keep your paper in excellent condition, ensuring smooth, high-quality prints every time. Proper paper storage not only saves you from frustrating jams and misfeeds but also prolongs the life of your equipment and improves the overall efficiency of your office operations.
